Build a workflow that runs on its own
Set up a "when this happens, do that" rule for your contacts — and know exactly which steps run today.
Open this screen in the app ↗A workflow is one rule: something happens to a contact, and the app does the next thing — one trigger, then steps underneath.
Start a new workflow
- Open Automation Workflows at /workflows, click Create Workflow, then click the workflow name in the top bar to rename it.
Choose the trigger
- Under Triggers in the left panel, click the one you want — every workflow needs exactly one.
- Click the trigger card to open its settings on the right, fill them in, then click Save.
The triggers: Contact Created, Tag Added, Form Submitted, Booking Created, Payment Received, Pipeline Stage Changed, and Manual Enrollment, which only Run Manual Test starts. Tag Added will not activate without a tag picked under Tag from Settings.
The Amount Filter on Payment Received is an exact match, not a minimum — 499 will not catch a ₹500 payment. Leave it blank to accept any amount.
Add the steps
A workflow must have at least one action — a trigger alone never does anything. Wait, Wait Until and Delay pause it; If/Else splits it into Yes and No branches.
Steps with a grey Soon badge cannot be added — Send Email, Send WhatsApp, Remove Tag, Add Note, Move to Stage, Send Notification, MCP Tool Call, Time Window — leaving Add Tag, Update Contact and Google Sheets Row as the actions you can add.
The two Activate buttons do not agree. Activate on a workflow card in the list refuses only MCP Tool Call and Time Window — a template containing Send Email switches on there, and those steps do run — while Activate inside the builder refuses the whole workflow.
Once Active, the builder's Save re-runs those checks — with a coming-soon step present, Save fails until you press Pause.
Update Contact accepts only first_name, last_name, phone, source, status, city, region — a step using notes fails at run time.
Turn it on
- Click Save, check the right-hand panel ("Ready for activation" or "N items to fix"), fix anything listed, then click Activate.
Look at: The 'Ready for activation' / 'items to fix' box and the Integration readiness box below it
Test it
- Click empty canvas; under Manual Test pick a contact from Select contact (or click Create contact), then click Run Manual Test.
Run Manual Test only works on a saved, Active workflow whose trigger is Manual Enrollment.
Delays run via a background check every minute; Wait Until uses your workspace's time zone. Recent Runs shows each run's status and any error.
