Find and merge duplicate contacts

Combine two or more records of the same person into one, keeping all of their history.

The duplicate scan looks through your contacts for the same email address appearing on more than one record, and lets you fold them into a single contact — so one person's emails, bookings and payments appear in one place and you do not mail them twice.

1. Open Contacts → All Contacts.
2. Click Duplicate.
3. Wait while it scans. The heading then says how many duplicate groups were found.
4. Read each group. The record marked KEEP is the one that survives; the ones marked MERGE IN are folded into it.
5. Click Merge on a group to combine that group on its own.
6. Or click Merge All N Groups at the bottom and confirm the message to do every group in one pass.

• KEEP — The record that survives the merge. It is chosen for you: a high-ticket purchase counts most, then a payment, then a booked call, then having a first name, a phone number and more tags. If two records score the same, the one that has been in your workspace longest is kept.
• MERGE IN — A record that will be absorbed into the KEEP record above it.

Merging cannot be undone. Read the KEEP record in each group before you click Merge — that is the record whose name, phone number and details survive.

Duplicates are matched on the email address, ignoring capital letters and extra spaces — Priya@x.com and priya@x.com count as one. Two records for the same person under two different addresses will not be found here, and neither will two records with the same name.
