Build an email sequence with the 4-step wizard

A sequence sends the same short series of emails, spaced over days, to everyone who triggers it — build one by picking a template, choosing what starts it, writing the emails, and reviewing.

A sequence is a fixed set of up to five emails that go out one after another, with a wait you choose between them. Everyone who triggers it starts at email 1 and moves through at their own pace.

Step 1 — Template

  1. Click Email in the left menu, then Sequences.
  2. Click New.
  3. Click a template card, or click Start from scratch for a single blank email.
  4. Read the small numbered list on each card before choosing — it shows each email's job and when it sends (Now, +1d, +3d).

Step 2 — Trigger

  1. Type a name into Sequence name.
  2. Type a one-line Short description.
  3. Click one of the four cards under What should start this sequence? — the triggers article explains exactly what makes each one fire.
  4. Choose a tag from the dropdown if you picked Tag from Settings.
  5. Click Next.

Step 3 — Emails

  1. Click Edit on an email — or click its subject — to open the full-screen editor.
  2. Set Sends on each row: Send immediately, or wait 1, 2, 3, 4 or 7 days after the previous email.
  3. Click Add another email to add one more. The counter shows how many of the five you have used.
  4. Click the bin icon on a row to remove that email. The last remaining email cannot be deleted.
  5. Click Next when the list looks right.

  1. Write the Email subject (required) and Preview text, then build the body with the Add a block row.
  2. Click Send test email in the top right, type your own address into Send to, and click Send test.
  3. Click Done to return to the list. Your writing stays in the draft.
Important

In a sequence email only {{first_name}}, {{email}} and {{phone}} are filled in when the email actually sends, and the subject line fills in only {{first_name}}. The {{name}} pill and the Tag toolbar option are not replaced — they reach your contact exactly as typed.

Note

An unsubscribe footer is added to every email automatically. You cannot remove it.

Send test email is replaced by Connect your sender to test until your workspace has a connected sending address. Clicking it takes you to Settings.

Step 4 — Review

  1. Check the three cards at the top: the trigger, how many emails, and which address they send from.
  2. Scroll the thumbnails and read each subject.
  3. Click Save as Draft to keep it switched off, or Create & Activate to switch it on now. If anything is missing, a red box lists exactly what, and both buttons stay greyed out until every line is cleared.

Create & Activate is greyed out when the trigger is Tag from Settings. Save it as a draft instead — the triggers article explains what you can do with it afterwards.

Activating does not enrol the contacts you already have — only people who trigger the sequence from now on receive it. To put existing contacts in, enrol them by hand from Contacts.

Emails do not go out the instant they are due. The system checks for due sequence emails every 15 minutes and handles up to 20 people per check. Nothing is sent between 10pm and 8am IST — those emails go out after 8am.
