Send a WhatsApp campaign to a contact
Use an approved template to start a WhatsApp conversation, or to reach someone after their reply window has closed.
Open this screen in the app ↗The Campaigns screen sends an approved template to a person — a first follow-up, a reminder, a payment nudge. It is the only WhatsApp screen that can message someone who has not written to you first.
Despite the menu name, Campaigns sends to one recipient at a time. There is no list, tag or segment send, and nothing to schedule. Reaching many people means sending one after another, or putting a WhatsApp step inside an automation so it fires for each contact as they qualify.
- Open WhatsApp in the left menu and click Campaigns.
- Click the box under 1. Contact or phone and type at least two letters of a name or email address, then pick the person from the list that drops down.
- Or type a phone number instead of a name. A green line reading "Ready to send to…" confirms the app accepted it.
- Choose your message under 2. Select Approved Template.
- Fill every box under 3. Fill Template Variables.
- Read the dark WhatsApp preview panel and check the message reads correctly with the values you typed.
- Click Send Approved Template.
- Check the Recent Messages table underneath for the result.
- 3. Fill Template Variables — One box for each fill-in spot in the chosen template. If you picked a contact from the list, {{name}} is taken from their record and no box appears for it.
- Send Approved Template — Sends the message. It is unavailable until a number is connected, a recipient is set, and a template is chosen.
- Recent Messages — The last twenty sends from your workspace, with contact, template, time and status. A failed row shows Meta's reason underneath in red.
A ten-digit number gets +91 added in front automatically. For any other country, type the number starting with a plus sign and the country code.
Sending to a number that is not yet in your contacts creates a contact for it, named from the name box or "WhatsApp Lead" if you left it blank, tagged whatsapp and manual-send.
This screen does not check whether the person agreed to receive WhatsApp from you, and contacts it creates are recorded as not opted in. Consent is your responsibility, and Meta acts on complaints against your number.
You cannot type a free message here. If your template list is empty, the answer is to get a template approved by Meta and synced — not to write the message by hand.
Reading the result
- queued — Recorded in your workspace, not yet confirmed by Meta.
- sent — Meta accepted the message.
- delivered — It reached the recipient's phone.
- read — The recipient opened it, if they have read receipts switched on.
- failed — Meta refused it or could not deliver it. The reason appears under the status in red — read it before resending.
Delivery statuses only move past sent while the link that carries updates from Meta is working. If everything sticks on sent forever, check the Webhook tile on WhatsApp > Settings.
