Build a segment to see who matches a set of rules

Save a set of conditions and see which of your contacts match — a counting and planning tool, not a sending list.

A segment is a saved set of rules, such as "tags includes vip" and "Paid is Yes", together with the count of contacts who match them. Use it to size an audience before you build a campaign.

Important

Segments are stored in the browser you are sitting at, not in your workspace. Open the app on a different computer, in a different browser, or after clearing your browsing data, and your segments are gone. Nobody else on your team can see them, and support cannot recover them.

Important

Nothing can be sent to a segment. There is no button anywhere that emails a segment or enrols one in a sequence. To actually mail a group, put a tag on those contacts and choose that tag as the audience of a campaign.

Open the Segments screen

  1. Press Ctrl and K together, or click the search bar at the top of the screen.
  2. Type Segments.
  3. Press Enter to open it.

There is no Segments item in the left menu. The search bar is the way in, and the address is /segments.

Build a segment

  1. Click New Segment. On an empty screen the button reads Create First Segment.
  2. Replace the words New Segment in the name box with something you will recognise.
  3. Click Match ALL to switch it between ALL and ANY.
  4. Click Add condition.
  5. Choose the field to test, choose how to test it, and type the value.
  6. Add as many conditions as you need.
  7. Read the Preview list underneath to sanity-check the result.
  8. Click Save Segment.

  • Match ALL / Match ANY — A single button that flips between the two. ALL means every condition has to be true. ANY means one is enough.
  • Field list — Email, First Name, Tags, Paid, Call Booked, Purchased ₹50K, Source, UTM Source.
  • Test list — For text fields: contains, equals, starts with. For yes/no fields: is Yes, is No. For Tags: includes tag, does not include tag.

Reading the numbers correctly

Everything on this screen is worked out from the first 1,000 contacts in your workspace. If you have more than 1,000 contacts, the ones beyond that are never tested and every count you see is lower than the truth.

While you are building, the line "N contacts match" above the Preview counts only the contacts shown in that preview, and the preview stops at ten — it will never read higher than 10. The big number on the segment card after you save is the figure to go by.

Opening a saved segment shows its conditions and a list of up to 15 matching contacts. That list is a sample, not the full set — the count on the card is the number that matters.

How the tests behave

  • contains, equals, starts with — Capital letters are ignored, so Priya and priya are treated the same.
  • includes tag — Matches part of a tag name, not the whole tag. A value of paid also matches the tag paid-299.
  • does not include tag — Matches contacts with no tags at all as well as contacts whose tags do not contain the value.
  • is No — Matches contacts where the answer is No and contacts where the field was never filled in at all.
  • No conditions — A segment with no conditions matches every contact. The builder warns you with "No conditions yet — all contacts will match".

To remove a segment, click the bin icon on its card. It is deleted from this browser straight away, with no confirmation step.
