Contacts
Add one contact by hand
Create a single contact record yourself, without uploading a file.
Open this screen in the app ↗Adding a contact by hand creates one person's record in your workspace — their name, email, phone, where they came from, and any tags you want on them. It is the quickest way to get someone into the system after a phone call, a referral or an event.
- Open Contacts in the left menu and click All Contacts.
- Click Add Contact at the top right.
- Type the First Name and Email Address. These two are required.
- Fill in Last Name, Phone Number, City and State / Region if you have them.
- Choose a Customer Segment. Read the two cautions below before you leave this set to Lead.
- Choose a Source so you can see later where this person came from.
- Type a word in the Tags box and click Add. Repeat for each tag you want.
- Write anything you want to remember in Internal Notes.
- Click Save Contact.
| Name | Phone | Tags | Status | Source | Date | |
|---|---|---|---|---|---|---|
- First Name — Required. Saving is refused without it.
- Email Address — Required. It must look like name@example.com, or you get the message "Enter a valid email address".
- Attribution (Optional) — Three boxes — UTM Source, UTM Medium and UTM Campaign — that you type in yourself. Nothing fills them in for you on this screen.
- Customer Segment — A dropdown with Lead, Paid, Call Booked, Higher Ticket and Not Converted. Whatever you pick is saved on the contact as a tag.
- Source — Manual Entry, Meta Ads, Referral, Organic, WhatsApp, Webinar or Other. Shown on the contact's page as Source / Campaign.
- Tags box and Add — Type any word and click Add to attach it. Tags are saved in lower case. Click the × on a tag to take it off again.
- Internal Notes — Free text. It appears on the contact's page under Internal Notes and is never sent to the contact.
Customer Segment only writes a tag. Choosing Paid adds the tag paid-299 but does not record that the person has paid — they still sit in the Lead column of the Lead Pipeline. The one exception is Not Converted, whose tag does put them in the Not Converted column. To record a real payment or a booked call, move the person on the Lead Pipeline instead.
Saving can send an email straight away. Every tag on the new contact is checked against your active sequences, and the default Customer Segment of Lead adds the tag "lead". If you have an active New lead sequence, its first email goes out the moment you click Save Contact — the 10pm to 8am quiet hours do not hold this one back. Change Customer Segment, or pause the sequence, if you do not want that.
Look at: The Customer Segment dropdown
A tag you type on this screen is attached to this contact only. It is not added to your tag list in Settings → Tags, so it appears in the default indigo colour and will not show up as a filter button on the contacts list until you create it there as well.
If someone with that email address is already in your workspace, saving stops and you see "A contact with this email already exists". Nothing is saved. Search for them on All Contacts and edit the existing record instead.
