Tag your contacts so you can find and mail them
Tags are the labels you put on people, and they are what campaigns, sequences and automations use to decide who gets what.
Open this screen in the app ↗A tag is a short label on a contact — vip-client, webinar-march, paid-299 — and a contact can carry as many as you like. Tags are what everything else reads: a campaign picks its audience by tag, a sequence can start when a tag appears, and the contacts list filters by tag.
Create a tag
- Open Settings in the left menu and click Tags.
- Type a name in Tag Name, for example vip-client.
- Click one of the coloured circles to pick a colour.
- Click Add Tag.
- Tag Name — Saved in lower case whatever you type, so VIP-Client becomes vip-client.
- Colour circles — Ten fixed colours: Blue, Green, Red, Orange, Purple, Pink, Yellow, Gray, Indigo and Teal. Indigo is used for any tag that has no colour of its own.
The number in the Contacts column is counted across the first 1,000 contacts in your workspace only. If you have more contacts than that, the figure you see is lower than the real one.
Put a tag on one person
- Open Contacts → All Contacts and click the person's row.
- Click Add Tag underneath their name.
- Click the tag you want from the list.
- To take a tag off, click the × on that tag.

Only tags that already exist in Settings → Tags appear in this list, and tags the contact already has are hidden from it. You cannot invent a new tag from a contact's page.
Put a tag on many people at once
- Open Contacts → All Contacts.
- Tick the box at the left of each person's row. Your ticks are kept when you move to another page of the list.
- Click Add Tag on the bar that appears above the list.
- Click the tag you want. It is added to everyone you ticked.

Adding a tag can send an email immediately. When you add a tag from a contact's page or from the selection bar, the app looks for an active sequence that starts on that tag and enrols the person straight away — and that first email goes out at once, even between 10pm and 8am. In practice this applies to the tags lead, payment-success and call-booked, because a sequence can only go live on one of those trigger tags.
The Enroll in Sequence list includes sequences that are still saved as Draft. Enrolling people starts the sequence for them and sends the first email whether or not the sequence has been made Active.
Adding a tag also runs any active automation whose starting point is "tag added" and whose tag matches.
Rename or delete a tag
- Open Settings → Tags.
- Click the pencil icon on the tag's row.
- Change the name, or click a different colour circle.
- Click the tick to save.
- To delete instead, click the bin icon and then click the tick beside Delete?.
A rename is carried onto every contact who has the tag. A delete takes the tag off every contact who had it.
Renaming does not update the places where you typed the old name. A campaign's audience, a sequence's starting tag and an automation's trigger all store the name as text, and none of them follow the rename — they will quietly match nobody. Go and update them by hand after you rename. Deleting has the same effect and cannot be undone.
Tags you did not create
Some tags are written automatically and always start with a word and a colon: source:, medium:, campaign:, ad:, adset:, form:, booking: and utm:. They record where a contact came from.
The contacts list shows a filter button for the first five tags in your tag list, in alphabetical order. If a tag you want to filter by is not there, rename it so it sorts earlier, or use the search box instead.
